Data Protection & Privacy
This Privacy Policy explains how Zero to One Search ("ZTOS", "we", "us") collects, uses, and safeguards your personal data — whether we are helping you find a role, providing you a service, receiving a service from you, or you are simply visiting our website.
Introduction
This Privacy Policy describes how we collect, use, and process your personal data, and how, in doing so, we comply with our legal obligations to you. Your privacy is important to us, and we are committed to protecting and safeguarding your data privacy rights.
For the purposes of applicable data protection legislation — including the EU General Data Protection Regulation (GDPR, Regulation (EU) 2016/679) — Zero to One Search GmbH is the data controller responsible for your personal data.
This policy applies to Website Users, Candidates, Clients, Suppliers, and other individuals we may contact, including referees and emergency contacts. We may amend this policy from time to time; please revisit this page to stay up to date.
What personal data do we collect?
Candidate data: name, age, contact details, education history, employment history, references, emergency contacts, immigration status, financial information (where background checks are required), and — where appropriate and lawful — health, diversity, or criminal-record information.
Client data: business contact details and information about individuals at your organisation needed to deliver search, MSP, or RPO services.
Supplier data: contact details and bank/payment information required to operate the contractual relationship.
Referees, emergency contacts and dependants: basic contact details provided by a Candidate or Staff member.
Website users: usage data collected via cookies and analytics — for example, pages viewed, frequency of visits, and traffic patterns.
How do we collect your personal data?
We collect personal data directly from you (e.g. when you submit your CV, contact us, or sign a contract) and from third parties (e.g. former employers, referees, public sources such as LinkedIn, or partners). When you visit our website or interact with our emails, we may also collect data automatically via cookies and similar technologies.
How do we use your personal data?
Candidates: primarily to identify and present employment opportunities suitable to you, and — where lawful — for marketing, profiling, and diversity monitoring.
Clients: to deliver the services you've engaged us for, including identifying and presenting Candidates and managing the contractual relationship.
Suppliers: to operate our agreement with you and meet legal and accounting obligations.
Website users: to improve your experience on the site and tailor content and communications to you.
Who do we share your personal data with?
We may share your data with prospective employers (in the case of Candidates), Candidates (in the case of Clients), our group companies, and trusted service providers (e.g. IT and analytics providers, payroll providers, legal and professional advisers). We may also disclose data where required by law or regulation.
How do we safeguard your personal data?
We put in place appropriate technical and organisational measures designed to prevent unauthorised access to, and misuse of, your personal data — including access controls, encryption in transit, vendor due diligence, and staff training.
How long do we keep your personal data?
If we have not had meaningful contact with you (or, where appropriate, the company you are working for or with) for a period of two years, we will delete your personal data from our systems — unless we believe in good faith that the law or other regulation requires us to preserve it (for example, tax obligations or anticipated litigation).
Your rights
You have the right to access, rectify, erase, restrict, or object to our processing of your personal data, the right to data portability, and — where processing is based on consent — the right to withdraw consent at any time.
To exercise any of these rights, please contact us at info@zerotoonesearch.com. We will respond without undue delay and in any event within the timeframes required by applicable law.
You also have the right to lodge a complaint with your local data protection supervisory authority if you believe we have not handled your personal data in accordance with the law.
International transfers
Where we transfer personal data outside the European Economic Area, we put in place appropriate safeguards (such as Standard Contractual Clauses) to ensure your data is protected to a standard equivalent to that within the EEA.
Cookies
We use cookies and similar technologies on our website for essential functionality, analytics, and (where applicable) marketing. You can manage cookies through your browser settings.
